Which of your clinics actually make money?

Most clinics, from a single site to a group of fifteen, run finance the way they did when they opened: a practice manager or a bookkeeper does the books, the accountant helps at year end, and nobody can say which site made money last month, whether practitioner payroll tax is right, or whether the next site will pay for itself. LedgerLift is the finance function in between, built by someone who ran it for a group that grew from 8 clinics to 84.

Fixed monthly fee · from $167 + GST a month (a quarterly check-in) · read-only Xero to start · or book a 20-minute call

Every month, by working day 10Clinic groups
  • A P&L per site and revenue per practitioner, with the practitioner cost, occupancy and consumables against it.
  • Payroll tax by state, accrued and reconciled to what was lodged, contractor practitioners tested against each state's rules.
  • Service trust and clinic entities consolidated into one view, intercompany reconciled, management fees booked on the agreed basis.
  • The month closed and checked, every material balance reconciled, then the pack, reviewed before it reaches you.
  • A 45-minute call on what changed and what to do.

The four problems every clinic group hits

They show up between site two and site five, and they're the same in GP, physio, dental and allied health.

One Xero file, five sites, no site margin

Tracking categories aren't applied, shared costs aren't allocated, and the second site has been "about break-even" for two years.

Practitioner payroll tax

Contractor practitioners assumed to be contractors, staff in two states, lodged in one. The total is roughly right; the state is wrong, and the penalty arrives before the bill.

The service trust nobody reconciles

Fees between the trust and the clinic entities booked at year end, intercompany out of balance, no consolidated view until the accountant does the tax.

Site number four, on optimism

Fit-out, practitioner ramp and break-even month never modelled; the bank asks for a case and there isn't one.

What you get

The finance function, without the hire

On time or half price: your pack by working day 10, or that month's fee is halved, when your books and inputs arrive on time. And your first month is on us if it doesn't earn its fee: after your first pack and call, tell us it wasn't worth it and you don't pay for that month. Three scopes, one retainer. Bookkeeping is included free, or your practice manager or bookkeeper keeps it if you'd rather. Your accountant keeps tax and BAS and gets our locked file each month.

Automated · free with every plan

Stop paying for bookkeeping.

Nobody wants to do bookkeeping, and most of it is the same transactions coded the same way every month. So we automate it. AI captures your bills and receipts, codes them and matches your accounts in your Xero, every week, and a person handles anything it can't. It costs us little, so it costs you nothing. You pay only for the work that takes judgement: the close, the numbers and the decisions.

  • Bills and receipts captured and coded automatically, every week
  • Bank, card and payment-platform accounts matched automatically
  • Anything the automation can't handle goes to a person, never guessed
  • Checked at every review, so it doesn't drift

Bookkeepers typically charge a small business $600 to $1,200 a month

Where this comes from

General practice group · Jared's career

Scaling finance from 8 to 84 clinics

A GP group grew from 8 clinics in one state to 84 across Australia in four years. Jared built the finance function that ran it: a team of 14, one set of policies, a new ERP, payroll for about 600 staff, monthly board reporting, covenant testing for the lending syndicate, and the finance side of every clinic integration. The problems at 8 sites were the same as at 84, just smaller.

Multi-state employer · LedgerLift project

A national payroll tax review

Payroll tax lodged in one state while staff worked across several. The liability was rebuilt by state and year, contractor arrangements tested, every return reconciled, a monthly accrual left running. The same review applies to practitioner contracts in a clinic group.

HR consultancy · LedgerLift client

Utilisation and a budget the team owns

For a business selling its people's time, we built utilisation reporting from the time system into a weekly deck, drove billing from the same data, and rebuilt the budget on utilisation per person. Practitioner utilisation in a clinic is the same number.
